eForm Approval Process

  • When an eForm is submitted, it will be moved to the next step in the workflow for approval. Depending on the form, there could be multiple approval steps.
  • Once an eForm is submitted, it cannot be deleted or edited by the submitter. Depending on the eForm, approvers may have the ability to modify content on the eForm, add additional attachments, or take other actions. An approver can also add comments to the History section when it is their turn to take action on the form. Once the form is out of their inbox, they can no longer make changes.
  • Approvers for an eForm vary depending on the workflow set up for the eForm. Approvers could include the submitter's supervisor, area Vice President, or members of a department such as HR or Procurement.
  • The approvers will receive an email update to let them know there is a form waiting for their approval. They can also access their SoftDocs Inbox directly to see all forms waiting for them.
  • Depending on the eForm's workflow, the approver can choose to approve, return for correction, deny, or refer the form to someone else. If the form is referred to someone else, it will restart the workflow once that new approver has approved it.
  • Once a form reaches the final approval step, the submitter will receive an email update. The submitter, and anyone involved in the approval workflow, can view the History of the eForm at any time to identify where it is in the approval process. They can also download a PDF copy.
  • Once the eForm's workflow is complete, the final document is stored in the Etrieve Content document management system.
