How to Free Up Space in Outlook Mailbox

If your mailbox is full, there are several ways to free up space. Follow the steps below to do so.

How to Archive Old Outlook Items

One of the first steps you can take to free up space is archiving older Outlook items. You can do through this by creating a separate Outlook Data File (.pst) that you can open in Outlook at any time. By manually archiving items, you can determine the items you want to archive, when to archive them, and where to store them. 

1. Go to File.

2. Select Tools and Clean Up Old Items. This will move your items to the Archive folder. 

3, You can also archive specific emails by selecting the email and clicking the Archive option at the top of the Home tab.

4. If you want to move an item from your Archive to your Inbox, right click on the item you want move. Select the Move option and Other Folder.

5. A screen similar to the one below will appear. Select the folder you want the item to be moved to. 

 

How to Empty the Deleted Items and Junk Email Folder

1. Go to File > Options > Advanced tab. You will see a screen similar to the one below. Select Empty Deleted Items folder when exiting Outlook and click OK. 

How to Store Attachments Outside of Outlook

Attachments can take up space on your Outlook account. To reduce the amount of space used by attachments, you can save the attachments in your OneDrive or computer. To do so, select the attachment you want to save and select the Save As option. Now, select the location where you want to save the attachment and save

How to Delete Items

Another option for creating space on your mailbox is by deleting items. You can do this by selecting the item you want to delete and click the Delete option at top of the Home tab. 

How to Use Outlook Cleanup Tools

You can also free up space in your mailbox by using the Outlook Cleanup tools feature. 

1. Go to File > Tools > Mailbox Cleanup 

2. You will see a screen similar to the one below. You can modify the options however you prefer to free up space.
