Getting Started
When you walk into the ballroom, head to your left and you will see a touch screen mounted on the wall. Press the screen to begin and then enter the password ”6789”.

Next, we want to make sure we are on the correct video source from the options pictured below. 9 times out of 10 we will be selecting “Stage HDMI”.

Next, let’s check our audio. Select, “Lectern Volume” at the top, and adjust the volume of the microphone on the podium until you are satisfied. If you want to use wireless microphones, you will need to head downstairs to the Student Info Center to retrieve them. Then, select “Wireless Volume”, and adjust the volume of the mics to your liking.
Okay, we now have our video and audio prepared. We can now move to the stage and plug in a laptop into the HDMI at the podium. You should now see your laptop on the screen. At this point, do a test run of any presentation materials or videos to make sure your audio and video is running smooth.
Shutting Down
When you are done in the room, unplug your laptop. The screen will now be black, however, the system is still on. Please return to the touchscreen and select “Power Off” at the top right. Then, select “YES”.

Advanced Tips and Troubleshooting Advice
There is a common issue in the ballroom that is triggered when the fire alarm goes off. The power draw of the alarm trips the breaker that powers the video wall. You will know this is the case when you check behind the video wall. If all the blinking lights that are normally there are not present, then you will need to flip the breaker to restore power. Behind the video wall is a closet. Inside the closet on the right hand side is a large standalone breaker that you need to first push down to the off position, and then push it back up to the on position. Once this is done, power will be restored and the AV can be used.

The second common issue I want to prepare people for is when the cables leading to the podium are damaged, moved, or removed. These cables are covered in tape and run from the podium to the back of the stage where a power outlet and HDMI port reside. On occasion, the podium will get moved, or someone will mess with the cables for whatever reason. The fix for this is to simply put the cables back in position and tape them down again. If the cables have been broken, they will need to be replaced. I wanted to warn people of this to prevent confusion, as many of our podiums have this equipment built in, or the connections run under the floor.
