New Outlook and OneDrive Security Features

Many faculty, staff, and students do not realize that email is not a secure means of communicating sensitive or private information such as SSNs, bank account information, driver’s license numbers, or personal health information.

Because of the University’s responsibility to protect the students, parents, employees, and others who entrust information to the University, IT will be implementing data loss prevention for email and OneDrive.  Users who attempt to send sensitive content via email receive warning notifications like the Policy tip shown below:

When attempting to store sensitive content in OneDrive, users will receive an email from Office365 as shown below:

 

Overriding in Outlook and OneDrive

Users will have the option to override or to report false positives and send the message, but their business justifications and reports of false positives will be reviewed.
To override in Outlook, click Override and enter an explanation in the text box. Click the blue Override button once finished. 

 

Similarly, to override in OneDrive, click Override and enter an explanation. Click Submit once finished. 


 

Users who are required to send sensitive content in emails should enter the content into a Word document and encrypt the file.  Users can encrypt documents through Word’s File menu.  Users should communicate the document password via telephone or text message.  Passwords should not be sent in emails.
