Getting Started

When you first walk into the control room, touch the touch screen to wake the system up. Hit the projector on button in the top left. Then, select your video source you would like to display at the top of the touch screen. If you are using a laptop at the podium, go over and plug in the HMDI chord, power chord, and ethernet chord.

Now, if you can see your desired video signal up on the projector, then you are ready to move on to setting up your audio. If you can’t see your desired video source, refer to the troubleshooting section of this guide.

Moving on to audio, let’s go back to the control room. Touch the “Volume Control” button on the top right corner of the touch screen. Make sure to unmute all 3 sources, and set them to a reasonable volume on this page so you can test them. Then, grab a wireless mic from the drawer against the back wall of the control room. Turn it on and test it to make sure it works.

Next, test the audio from the computer that will be running your presentation. If you are running the presentation from a laptop at the podium then head over to the podium and test it.

Next, test the podium microphone, and ensure that it is positioned to correctly pick up the voice of whoever is going to be speaking at the podium.

If you have successfully confirmed that all your audio sources work, and that your desired video source is up on the projector then you are all set in terms of your A/V needs.

Shutting Down

Once the presentation is done, pack up the laptop at the podium and retract the cables you used. Bring any wireless mics back to the control room, power them off and put them away in their properly labeled cases. Put the laptop away in the drawer underneath the mics. Then, on the touch screen, hit the “System Off” button in the bottom right corner.

General Tips

To help things run smoothly, try to get the presentation materials (PowerPoints, videos, etc.) as early as you can, and load them up on the projector in advance.

Also, it is a good idea to leave a clicker on the podium for your presenter, as most people prefer to use them.

Please, ask your presenter if they would prefer to use the podium microphone or a wireless microphone, and have them test whichever microphone they pick so you can adjust its volume to fit their speaking voice.

Lighting

On the left hand side of the control room, you will see a touch screen mounted to the wall. It’s screen will likely be black. Press the screen once to wake it up, and then press anywhere on the screen to start.

This will bring up the main menu page. For the main lighting controls, press “House Lights”. For spotlights, press “Connector Strips”.

This will bring you to the pages where you can dim/brighten the different sets of lights. Please remember to fully dim the lights when leaving by bringing the "Master" slider to 0%.

Troubleshooting

If you have turned the projector on and selected the correct source you want to display, and you are sure the source is plugged in, yet you still can’t see your video source, then do the following:

Make sure the “Video Mute” button is not on (it will be highlighted in yellow if it is on). This button makes the screen go black without turning off the projector, I would not recommended to use this unless you are quite familiar with the Auditorium’s A/V as this button can cause confusion on occasion.

In terms of audio troubleshooting, look to make sure all your audio sources are not muted. Make sure the audio on the computer is turned up, and make sure the correct audio source on the computer itself is selected.
