Founder's Hall Boardroom AV Guide

Summary

This article details how to operate the AV tech in the Founder's Hall Boardroom. It covers joining a zoom, connecting a laptop, and using the mics/cameras.

Getting Started
1.    To get started, press anywhere on the touchscreen.

2.    You are now on the main page of the touchscreen that handles most of the controls. Let’s start by pressing the display “On” button in the top left. The TVs in the room will turn on. Then, in the “Inputs” section at the top, select “PC” 


3.    You should see the room PC appear on the preview window on the touchscreen, as well as on the TVs. If you don’t see anything when you do this, you will want to check if the PC is powered on. Head to the opposite head of the table and open the cabinet on the left. At the bottom you will find the PC. If it is powered off, press the power button to turn it on. You should now see the PC displayed on the TVs.

4.    Next, use the mouse and keyboard that is near the touchscreen to sign into the room PC.


5.    If you have any presentation materials, you can now load them onto the PC. Either by emailing them to yourself, or plugging in flash drive into the USB cubby pictured below (to the left of the touchscreen, at the head of the table). You will notice there is also a receiver for a clicker here. That can be used to advance your slides in your presentation and should always be left plugged in. Once you have your files loaded onto the PC, just open them there, and then you will be ready to present and hold your meeting.

6.    When you are done, please log out of the room PC, and then on the touchscreen, press “System Off”. A pop-up will appear. Select, “Yes, Shut System Down”. The TVs will turn off. Also, the PTZ’s will turn around and turn off and you are all done.

Joining a Zoom Meeting

1.    If we want to use Zoom, the first thing we need to do is turn on the cameras. To do this press the “PTZ CTRL” button on the left hand side of the screen. The cameras in the corner of the room will turn on, spin around, and point to their default position. The PTZ Control page will also appear on the touchscreen. From here, you are change the angle of the camera, switch between the two cameras, and set preset positions for quick switching (hold the preset button for ~5 seconds to set the position of the preset).

2.    One important note: If you want to join a Zoom meeting, and use the microphones and PTZ camera in the room, then you will have to use room PC. Once you are logged into the room PC, launch Zoom, and start a new meeting (or join a pre-created meeting) to begin.


3.    Now, let’s check our audio and video settings to make sure we are good. Select the the “^” next to the microphone icon. This will bring up the audio settings options. Select “Extron HDMI” for your speakers to use the speakers in the ceiling. Select “Digital Audio Interface (Xl100DUSB-HDMI Audio)” for your microphone, to use the microphones on the desk (and also the handheld wireless mics located in the right hand cabinet at the end of the desk). Then, select the “^” next to the camera icon to bring up the video settings. Select “Xl100DUSB-HDMI Video” for your camera. You should now be able to be seen and heard in your Zoom meeting.

4.    Now, things will function like any other zoom meeting you are used to. When you are done, end the meeting, log out of the room PC, return any microphones, and then on the touchscreen, press “System Off”. A pop-up will appear. Select, “Yes, Shut System Down”. The TVs will turn off. Also, the PTZ’s will turn around and turn off and you are all done.


Miscellaneous Tips


•    To connect a laptop, grab the HDMI cable from the cubby near the touchscreen labeled “CUBBY 2” and plug it into your laptop. Now, on the touscreen, select “HDMI” from the inputs section at the top. A pop-up will appear. Select “Cable Cubby 2”, and you should now see your laptop appear on the TVs and in the touchscreen’s preview window. Keep in mind you cannot connect a laptop to the rooms built in mics and PTZ cameras, you need to use the room PC for that.

•    There are 2 handheld microphones located at the end of the desk, in the right hand side cabinet. Hold their power button for about 3 seconds and they will power on. These will amplify your voice in the room, and anything they pick up is also sent to Zoom if you happen to be in a Zoom meeting using the room PC.

•    To raise and lower the blinds, use the controls on the wall that are to the left as you walk in. The controls are a little odd, as the blinds are different lengths, so you may have to mess around to find a sweet spot with the blinds.
