QuestionPro Replacing Qualtrics

Body

Overview

The decision has been made to replace Qualtrics with QuestionPro as La Salle University’s enterprise survey research tool for students, faculty, and staff.

This issue has been the subject of much discussion over the past two years as the cost of University software subscriptions have continued to increase well beyond the rate of inflation. All our software subscriptions are reviewed periodically to ensure they are cost-effective and represent the best use of institutional resources. Following a comprehensive review, QuestionPro was selected because it meets- and in many cases exceeds- the functionality currently used in Qualtrics, while providing substantial cost savings to the University.

Our Qualtrics enterprise license will remain available through September 30, 2026, to ensure an orderly transition to QuestionPro. During this period, existing Qualtrics survey owners may migrate surveys and historical data to QuestionPro using its built-in migration tool.

Training resources and support services will be provided to ensure a smooth transition and to assist individual users’ migration to QuestionPro.

At the same time, Microsoft Forms also remains available for routine surveys that don’t require more complex survey logic and analysis.

Timeline:

  • Early June – Access to QuestionPro will be provided through the mylasalle portal. [lasalle.questionpro.com]
  • June through September – Users will complete training, migrate surveys, and export any data they wish to retain. For shared surveys, the survey owner is responsible for the migration.
  • September – Qualtrics access will end on September 30, 2026. Surveys not migrated by the survey owner before that date will no longer be accessible.

Training and Support

  • Live training session schedule will be announced in the mylasalle portal.
  • QuestionPro’s training library includes webinars, live sessions, and on-demand resources.
  • 24/7 live technical support will be available through your QuestionPro account.
  • The QuestionPro YouTube channel offers video walkthroughs on survey creation, logic, distribution, and analysis.

The Office of the Provost and the Information Technology Department understand that changes like this commonly present unanticipated challenges. We are confident this transition will enhance both the survey capabilities of the university community and improve campus efficiencies.

Additional updates about this transition will be communicated through the mylasalle portal.

Migrating Surveys from Qualtrics to QuestionPro

There are two ways to migrate your surveys. For most users, we recommend Option 1 because it handles everything automatically.

Option 1: Direct Import (Recommended)

This is the easiest method. QuestionPro connects directly to your Qualtrics account and copies your surveys over for you. You just need two pieces of information from Qualtrics: your personal token and your datacenter ID. Both are found on the same page in Qualtrics.

Step 1: Get your token and datacenter ID from Qualtrics

  1. Log in to Qualtrics at lasalle.qualtrics.com.
  2. Click your account icon (top right), then click Account Settings.
  3. Look for your Token. If you do not see one, click Generate Token. Copy this value somewhere handy (a sticky note, a text file, etc.).
  4. On the same page, find your Datacenter ID and copy that as well.

Step 2: Import your surveys into QuestionPro

  1. Log in to QuestionPro at lasalle.questionpro.com.
  2. Click your account icon (top right), then click Migration Center.
  3. Click the Qualtrics Import Tool tile.
  4. Select the API tab at the top, then click the Import Surveys button.
  5. Paste your token and datacenter ID from Qualtrics into the fields, then click Next.
  6. QuestionPro will display a list of all your Qualtrics surveys. Check the box next to each survey you want to bring over. You can import up to 50 at a time.
  7. At the bottom right of the window, choose whether to import your response data and toggle on Import Logic if your surveys use skip logic, display logic, or validations. Note: The Import Logic option transfers basic logic only. Advanced logic such as branching, display logic, and survey flow typically does not carry over due to platform differences and will need to be recreated in QuestionPro. For most surveys this is straightforward.
  8. Choose a destination folder (top right dropdown), then click Import.
  9. The import runs in the background. You will receive an email when it is complete. Your imported surveys will appear under My Surveys in QuestionPro.

Tip: After importing, preview each survey to confirm your questions, logic, and data came through correctly. Imported surveys are marked with a green icon so they are easy to spot.

Option 2: File Upload

If you prefer to move surveys one at a time without connecting your accounts, you can export a survey file from Qualtrics and upload it to QuestionPro manually.

  1. In Qualtrics, open the survey you want to export. Go to Survey > Tools > Import/Export > Export Survey. This downloads a .qsf file to your computer.
  2. If you also want to move your response data, go to Data & Analysis in Qualtrics and export your responses as a CSV file using numeric values.
  3. In QuestionPro, go to your account icon > Migration Center > Qualtrics Import Tool.
  4. On the QSF tab, drag and drop your .qsf file (or click Browse to select it). You can upload multiple files at once.
  5. Once the survey appears, you can optionally click Import Data via CSV next to the survey name to upload your response data.

Note: The file upload method does not import survey logic (skip logic, branching, display logic). If your survey relies on logic, use the Direct Import method (Option 1) instead, or plan to recreate the logic manually in QuestionPro.

What Transfers and What Doesn't

Most standard question types and response data will transfer successfully. Basic logic may transfer, but advanced logic (branching, display logic, survey flow) typically needs to be rebuilt in QuestionPro. For shorter surveys, this is usually straightforward. A small number of specialized Qualtrics question types are not supported by the import tool: File Upload, Highlight, Drill Down, Timing, Meta Info, Screen Capture, Side-by-Side Matrix, HeatMap, Hotspot, Card Sorting, Matrix Table (dropdown list), and Conjoint/MaxDiff. If your survey uses any of these, those specific questions will be skipped during import and you will need to recreate them in QuestionPro.

Creating New Surveys

There are several ways to create a new survey in QuestionPro:

  • Use a template: QuestionPro offers a library of expert-created survey templates organized by category. Click New Survey, select Use a Template, choose a category, and preview the template before adding it to your account.
  • Create from scratch: Start with a blank survey and build your questionnaire using the question type library, which includes multiple choice, comment boxes, matrix scales, Net Promoter Score, and more. QuestionPro includes smart fill options that suggest appropriate answer scales as you work.
  • Import from Microsoft Word: If you have a questionnaire prepared in a Word document, you can upload it directly into QuestionPro. A sample formatting template is available within the import tool to help you structure your document correctly.
  • Build with QuestionPro AI: Enter a brief description of your survey topic and QuestionPro's AI tool will generate a full draft questionnaire in seconds. You can review the suggested questions and select which ones to keep before adding them to your survey.
